Privacy Policy

This policy explains how Convertiva handles personal data. It covers two different relationships, and the distinction matters — see Section 2.

1. Who we are

Convertiva is a trading name of Abiem Group LLC, a Florida limited liability company (“Convertiva,” “we,” “us,” or “our”).

2. Two relationships, two roles

When you visit this website or contact us — to book a demo, ask a question, or subscribe — we are the data controller. We decide what we collect and why. Sections 3 through 11 apply to you.

When we build and operate the AI Lead Assistant for a client clinic, that clinic is the controller of its own customer and patient data. We act as a service provider processing that data on the clinic's instructions and under our agreement with them. We do not use it for our own purposes, and we do not sell it. If you are a patient or customer of a clinic that uses Convertiva, please direct privacy requests to that clinic — they control the data and we will support them in responding.

Where a clinic's use of the service involves protected health information, additional agreements between the parties govern that data, and those agreements take precedence over this policy for the data they cover.

3. Information we collect

Information you give us

• Name, business or clinic name, email address, phone number
• Anything you add to the optional note on our demo request form — typically your clinic type and what you're trying to solve
• Anything you tell us in chat with our website assistant, by email, or on a call
• Billing details you provide when you subscribe

Information collected automatically

• IP address, browser type and version, device and operating system
• Approximate location derived from IP address
• Pages viewed and how you arrived at the site
• Cookies and similar technologies (Section 9)

Payment information

We do not store card numbers. Payments are processed by third-party providers, and we retain only limited billing identifiers such as a customer or subscription reference.

What we don't want

Please do not send us patient health information through this website, our chat assistant, or ordinary email. Our website assistant is instructed to stop and redirect if a conversation moves in that direction. If you need to discuss anything clinical, we'll arrange an appropriate channel.

4. Why we process it

• Responding to your enquiry and scheduling a demo
• Providing, building, and operating the services you've purchased
• Billing, payment, and account administration
• Support and communication about your account
• Improving our service and understanding how the site is used
• Security, fraud prevention, and protecting our legal rights
• Meeting legal and accounting obligations
• Sending marketing communications where you've asked for them or where permitted by law — you can opt out at any time

5. Who we share it with

We share personal data only with parties who help us run the service:

• Our AI agent platform provider, which hosts and operates the assistant we build
• Cloud hosting and infrastructure providers
• Payment processors
• AI model providers, where processing a conversation requires it
• Communication and scheduling tools we use to run the business
• Professional advisors such as lawyers and accountants
• Authorities, where we are legally required to
• A successor entity, in the event of a merger, acquisition, or sale of assets

We do not sell personal data.

6. International transfers

Data may be processed in the United States and in other countries where our service providers operate. Where required, we rely on appropriate safeguards consistent with applicable data protection law.

7. How long we keep it

• Enquiries that don't become clients: up to 24 months, then deleted
• Client account records: for the life of the relationship and then as required for legal, tax, and accounting purposes
• Billing records: as required by law, typically seven years
• Conversation data belonging to a client clinic: per our agreement with that clinic, and returned or deleted on their instruction when the relationship ends

8. Your rights

Depending on where you live, you may have the right to:

• Access the personal data we hold about you
• Correct data that's inaccurate or incomplete
• Ask us to delete it
• Object to or restrict how we process it
• Receive a copy in a portable format
• Opt out of marketing communications
• Opt out of any sale or sharing of personal data — though as noted, we don't sell it

Email hello@convertiva.co and we'll respond within 45 days, or sooner where the law requires it. We won't treat you differently for exercising any of these rights.

9. Cookies

We use cookies and similar technologies to operate the site, keep it secure, and understand how it's used. You can set your browser to refuse cookies, though some parts of the site may not work properly if you do.

10. Security

We use reasonable administrative, technical, and organizational safeguards to protect personal data, including encryption in transit and at rest. No system is perfectly secure, and we can't guarantee absolute security — but if a breach affects your data we will notify you and any relevant authority as required by law.

11. Minors

Our services are for businesses and are not directed at anyone under 18. We don't knowingly collect personal data from minors through this website. If we learn that we have, we'll delete it.

12. Governing law

This policy is governed by the laws of the State of Florida, United States, without regard to conflict of law principles. Disputes are subject to the exclusive jurisdiction of the state and federal courts located in Florida, except where mandatory consumer protection law provides otherwise.

13. Changes

We may update this policy. The current version will always be posted here with a revised date, and if a change is significant we'll tell active clients directly rather than relying on you to notice.
